Who this policy applies to

This privacy policy explains how SOP Capture Studio (referred to as “we”, “us” or “the app”) handles information when you use the SOP Capture Studio Windows desktop application or visit this website.

The data controller is the publisher identified on the SOP Capture Studio Microsoft Store product listing. This policy should be read alongside Microsoft’s own privacy information where Microsoft Store services are used.

Information processed by the Windows application

When you choose to record a procedure, the app processes information needed to create that procedure. Depending on the features you use, this can include:

• screenshots of the monitor, window or application you selected;
• meaningful mouse actions, keyboard shortcuts, application changes and Windows UI Automation details;
• procedure titles, descriptions, instructions, notes, author and department fields;
• annotations, quiz questions, branding, logos and reference links you add;
• app preferences, window settings, licence status and local diagnostic logs.

Where this information is stored

Procedure projects are saved as local .sopstudio folders in the location used by the app. Those folders can contain project metadata, original and edited screenshots, demonstration frames, branding and recovery information. App preferences and diagnostic logs are stored locally in your Windows user profile.

Automated instruction generation

Instruction text is generated deterministically on the device from the immediate Windows interaction context. SOP Capture Studio does not send captured content to a paid or third-party generative AI API.

Sharing, exporting and international transfers

We do not receive or sell your procedure content. The app writes exported PDF, HTML and related material only to the output location you select.

If you choose to share an exported file, open an email draft, copy a project to cloud-synchronised storage, or send material through another service, that action is initiated by you. The privacy terms of the email, storage or sharing provider you choose will then apply.

Because the core application stores and processes project content locally, we do not make international transfers of that content. A third-party service chosen by you may process information in other countries under its own terms.

Microsoft Store purchases and licensing

SOP Capture Studio may use Windows Microsoft Store services to offer and restore a durable Full licence. Microsoft handles the transaction, Microsoft account and payment information. The app requests the product and licence status it needs to confirm whether the Full entitlement is active; it does not receive your full payment-card details.

Microsoft processes Store information under the Microsoft Privacy Statement.

This website

This promotional website does not include account registration, contact forms, advertising cookies, analytics or behavioural tracking. It does not intentionally store information in your browser.

Like most hosting providers, our web host may process limited technical server-log information—such as an IP address, requested page, time, browser identifier and security events—to deliver and protect the website. This processing is based on our legitimate interest in operating a secure and reliable website. Hosting logs are controlled and retained by the hosting provider according to the hosting account configuration and applicable law.

If links take you to Microsoft or another third-party website, that third party’s privacy policy applies once you leave this site.

Retention, deletion and your control

You control the local procedure files created by SOP Capture Studio. You can edit or delete projects and exported material using the app and Windows file management. Removing the app does not necessarily remove project folders that you chose to save elsewhere.

Local app settings and logs remain on the device until they are replaced, deleted by you, or removed during an uninstall/cleanup process. We do not hold a remote copy of this information.

Hotspot questions and other features that depend on a screenshot are marked incomplete if their linked local screenshot is no longer available.

Security and children

SOP Capture Studio is designed to limit exposure by keeping procedure content local. You remain responsible for securing the Windows account, project folders, exports and any shared copies, and for avoiding the capture of information you are not authorised to record.

The product is intended for workplace procedure creation and is not directed at children. We do not knowingly collect personal information from children through the app or this website.

Your data-protection rights

Depending on where you live, you may have rights relating to personal information, including access, correction, deletion, restriction, objection and data portability. Most app content is held only by you on your device, so these rights can usually be exercised directly by managing your local files.

For information processed through Microsoft Store, contact Microsoft or use the privacy controls linked to your Microsoft account. If UK data-protection law applies, you may also complain to the Information Commissioner’s Office at ico.org.uk.

Changes to this policy

We may update this policy when the product, website or legal requirements change. The “Last updated” date at the top of this page identifies the current published version. Material changes will be reflected in an updated policy on this website and, where appropriate, in the Store listing.
